Terms and Conditions
When you sign up through our booking platform, you will be required to agree to Terms & Conditions which may vary from the version below. Please read carefully and make sure you understand the Terms & Conditions before making a payment for the event. We are available if you have any questions.
By paying the deposit you acknowledge that you have read and accepted these terms and conditions and that they apply to all participants you register.
The organiser of the event is Bertrand Gamrowski operating under the name “Flores del Camino”.

Flores del Camino (Bertrand Gamrowski) is a tour operator in Poland registered in the Central Register of Tour Operators under number Z/26/2026. Registration authority: Marshal of the Małopolskie Voivodeship. Financial guarantee provided by Compensa TU S.A. Vienna Insurance Group.
The combination of travel services offered to you constitutes a package within the meaning of Directive (EU) 2015/2302. Therefore, you will benefit from all EU rights applying to package travel. Flores del Camino (Bertrand Gamrowski), registered tour operator in Poland, entry nº Z/26/2026, will be fully responsible for the proper performance of the package as a whole. To ensure clarity and a mutual understanding of these Terms and Conditions, some of the terms used are defined in Section 22 (Terminology).
1) CONDITIONS TO JOIN AN EVENT
1.1. You must be 18 years old or older to participate in the Event.
1.2. By booking an Event and/or making a payment, you acknowledge that you have read, understood, and accepted these Terms in full, including any additional policies referenced herein. If you are registering on behalf of other participants, you represent that you have the authority to accept these Terms on their behalf and that they have been informed of and agreed to these Terms.
1.3. You are solely responsible for ensuring that you are physically and medically fit to participate in the Event, particularly considering the physical demands of walking the Camino. Flores del Camino does not provide medical advice and cannot assess your individual circumstances, limitations, fitness level or medical requirements. We strongly recommend consulting a physician before registration.
1.4 You must inform us before booking the Event (at maximum at the time of booking) of any medical conditions, physical limitations, allergies, or other circumstances (including mental health) that could affect your participation or safety during the Event. While we strive to be inclusive, we reserve the right to decline a booking if we cannot safely accommodate your specific needs. Any failure to disclose such information or providing inaccurate details will result in the consequences set out in Section 15 (Verification and Misrepresentation of Health Information).
1.5. It is your responsibility to obtain and maintain all necessary travel documents, including a valid passport (valid for at least 6 months beyond the stay) and any required visas or travel authorisations (e.g., ETIAS for non-EU citizens). Flores del Camino is not liable for any consequences, including deportation or denial of entry, resulting from your failure to possess valid documents.
1.6. Participation is subject to you having adequate insurance. While Flores del Camino provides basic mandatory insurance (covering medical expenses and personal accidents, as detailed in Section 8), it is a condition of participation that you acknowledge the limitations of this basic coverage. We strongly advise you to purchase comprehensive travel insurance from your home country that covers high-limit medical expenses, trip cancellation, and emergency repatriation.
1.7. All activities and information during the Event are delivered in English. Your command of English must be sufficient to fully benefit from the Event.
2) FUNCTIONALITIES AVAILABLE ON OUR WEBSITE
2.1. Our Website provides detailed information for each Event, including:
the specific route of the pilgrimage or the venue of the retreat;
the standard and type of lodging provided;
a clear list of what is covered by the price (e.g., facilitation, specific meals, local transport);
information on what is not included (typically international flights, personal insurance, and certain meals), ensuring you can budget accurately for your journey;
information regarding food and our ability to cater to specific requirements.
2.2. In addition to the information on the Events, the Website may offer access to "Online Courses" or digital educational materials. Access to these materials is subject to specific intellectual property protections as outlined in Section 13 (Intellectual Property).
2.3. You may voluntarily subscribe to our mailing list to receive news, updates about future pilgrimages, and educational content. To subscribe, you must provide your valid email address through our subscription form. By providing your email address, you consent to receive these electronic communications. You can withdraw your consent and opt-out at any time by clicking the "unsubscribe" link in any email or by contacting us directly at Our E-mail address.
2.4. While we strive to ensure all information on the Website is accurate and up-to-date, the specific binding details of your Event will be those on Our Booking Platform at the moment of booking and subsequently sent to you in your booking confirmation. The details of the events can also be downloaded as a PDF from our Booking Platform.
3) BOOKING AN EVENT THROUGH OUR WEBSITE
3.1. To begin the booking process, you should select the desired Event on our Website and review all the provided information, including the itinerary, price, and what is included in the package.
3.2. Once you decide to join, clicking the "Book Event" (or similar) button will redirect you from our Website to our dedicated Event page on Our Booking Platform.
3.3. On Our Booking Platform, you will be required to:
provide your personal details and any necessary information required for the Event;
review and accept these Terms & Conditions as well as the Privacy Policy;
make the required payment (the deposit or the full amount, as specified for the given Event).
3.4. The contract between you and Flores del Camino is officially concluded when your booking is successfully processed on Our Booking Platform and you receive an automated booking confirmation via email. However, please note that the performance of the contract is subject to:
the 14-day Medical Verification Period (as set out in Section 15); and
reaching the minimum number of participants (as set out in Section 6).
3.5. Please note that to complete Booking and Event, you must have an active email address and a device capable of browsing the web and making online payments. Flores del Camino is not responsible for any technical issues arising from your internet connection or third-party payment processing.
4) PAYMENTS MADE TO US AND PRICE OF THE EVENTS
4.1. Prices of the Events are indicated on the Website as well as on Our Booking Platform. Prices are typically quoted in EUR and include the services specifically listed in the Event description.
4.2. Payments must be made via the secure methods provided on Our Booking Platform (e.g., credit/debit card, bank transfer). Flores del Camino does not store your credit card information.
4.3. To secure your spot in the Event, the Deposit is required at the time of booking. The specific amount of the Deposit is indicated on Our Booking Platform for each Event.
4.4. Subject to provisions of Section 13 and Section 14, you acknowledge and agree that the Deposit is non-refundable due to the immediate and irrevocable financial commitments Flores del Camino undertakes upon your registration. The Deposit covers down payments for third party services, administrative costs, such as Our Booking Platform fees, and the preparation of the Event in general.
4.5. You may choose to pay the total Event price in full at the time of booking or, alternatively, follow a payment plan. If you opt for a payment plan, you agree to pay the Deposit initially and make all subsequent payments on the specific dates indicated on Our Booking Platform. It is your responsibility to ensure that each installment is paid by its respective due date to maintain your reservation.
4.6. If any installment is not paid by the specified due date, Flores del Camino reserves the right to treat your booking as cancelled by you. In such a case, the cancellation fees set out in Section 13 shall apply, and your spot may be released to the waiting list.
5) FUTURE COMMUNICATION
5.1. Most of our communication with you until the start of the Event, including official notices. Itinerary updates, and pre-departure information, will be conducted via email (from Our E-mail or via Our Booking Platform). You are responsible for:
providing a correct and active email address;
regularly checking your inbox and "Spam/Junk" folders;
ensuring that our domain is marked as a "safe sender."
Flores del Camino is not responsible for any consequences or losses arising from overlooked or undelivered communications due to incorrect contact details or spam filters.
5.2. We are always happy to hear from you. For general inquiries, please use email or the WeTravel messaging system. If you would like to have a more in-depth conversation via phone or video call, we kindly ask you to schedule a time in advance via email. This ensures we can give you our undivided attention and are fully available to answer your questions without interruptions from other activities.
5.3. We may also contact you via phone or WhatsApp for urgent updates. You must ensure the phone number provided is correct and notify us immediately if your number changes (e.g., if you acquire a local SIM card upon arrival in Europe).
5.4. For organisational reasons and for your own safety, you must be reachable by phone while in Spain, it is a condition of participation that you remain reachable by phone while in Spain (before and during the whole Event). You must:
be accessible via voice calls and WhatsApp;
ensure your phone has an active mobile/cellular data connection (roaming or local SIM) throughout the Event;
not rely solely on WiFi spots, as these are often unavailable on the trail or in remote areas.
Failure to maintain a working communication channel may result in you missing critical safety updates or logistical changes, for which Flores del Camino shall not be held liable.
6) EVENT CONFIRMATION
6.1. The Event is considered confirmed and guaranteed to proceed only when:
1) the minimum number of participants (as per Clause 6.2.) has been reached; and
2) you have received a formal Event confirmation e-mail from Flores del Camino specifically stating that the Event is confirmed (hereinafter: Event Confirmation Email).
6.2. The minimum number of participants for an Event is 6, unless specified otherwise in the Event description.
6.3. Flores del Camino will notify you via email regarding the final confirmation or cancellation of the Event no later than 75 days before the scheduled start date.
Important advice: We strongly recommend that you do not book non-refundable travel arrangements (flights, etc.) until you have received the formal Event Confirmation Email.
6.4. In the unusual situation that the minimum number of participants required for the Event is not reached by three (3) months before the start date of the Event, the Event will be cancelled. In such a case:
we will notify you via e-mail within the deadline indicated in 6.3. above;
we will refund the payments you made to us, including the Deposit, within 14 days of the cancellation notice.
In such a case, Flores del Camino’s liability is strictly limited to the refund of payments made for the Event. We are not liable for any additional costs, compensation, or damages, including but not limited to the cost of independently purchased flight tickets, visa fees, or other travel arrangements.
6.5. Some Events offer optional components (e.g. a specific workshop or excursion). If an optional part of the Event (e.g., a specific workshop or excursion) requires a minimum number of participants that is not reached 3 months before the start, that specific option will be cancelled. If the main Event is confirmed to run, you will remain registered for the main Event and your final payment will be reduced by the price of the option. If you have already paid for the entire Event, including the optional extra, we will refund the cost of that optional extra within 14 days from the date we inform you that it cannot be arranged.
7) TRAVEL ARRANGEMENTS
7.1. You are responsible for the preparation and protection of your travel documents, including, but not limited to, passports and visas.
7.2. Before making non-refundable travel arrangements, please check with us if we have reached the minimum number of participants as per the deadline in Section 6.
7.3. It is your sole responsibility to obtain, maintain, and protect all necessary travel documents, including but not limited to passports (valid for at least 6 months beyond your stay), visas, and travel authorizations (e.g., ETIAS). You must also comply with all health formalities required by the destination country. Flores del Camino is not liable for any refusal of entry, deportation, or costs resulting from your failure to possess valid documents.
7.4. Please let us know if you cannot arrive at the specified pick up or check-in time. If you experience travel issues or delays in the country of the Event in reaching the Event destination, we will try to help you find the best transport alternative to arrive to the Venue. Any additional costs incurred for such transport (e.g., private taxis or train tickets) shall be your sole responsibility.
7.5. If we have included a complimentary transportation service between a specified meeting point (e.g. airport) and the Event venue, note that the pick up and drop off times are estimated based on normal traffic and the absence of any adverse event like a breakdown. Please note that Flores del Camino is not liable for delays caused by circumstances beyond our control (e.g., extreme traffic, road closures, or vehicle breakdowns). We are not responsible for any missed onward connections (e.g., flights) resulting from such delays.
7.6. International transport is not included in the Event package. Flores cannot accept any responsibility for the late arrival of flights or other modes of transportation and any delays that result in missing departures and in incurring additional expenses. We strongly recommend that your travel insurance specifically covers such contingencies.
7.7. Participants remain responsible for their personal belongings (e.g., cameras, phones, jewelry, cash) carried at all times. Flores del Camino cannot be held responsible for loss, theft or damage to personal items during the event.
7.8. For Events involving luggage transfers between accommodations, Flores del Camino is responsible for the proper performance of this service. Our liability for any damage or loss during transfer is limited as set out in Section 19 (Liability). Also, we strongly recommend that you do not include high-value items or essential medications in the luggage intended for transfer.
8) TRAVEL INSURANCE
8.1. Basic insurance provided by Flores del Camino
Flores del Camino provides each Participant with basic travel insurance covering medical expenses (KL) and personal accidents (NNW) during the Event under General Agreement No. 500009593 concluded with Compensa Towarzystwo Ubezpieczeń S.A. Vienna Insurance Group (the "Travel Insurance”).

These documents are also available directly from the insurer’s website (Compensa) and form the only authoritative description of coverage, exclusions, and limits. The Polish version is the valid insurance documentation. The English version is provided for your convenience only and may contain errors.
8.3. Scope and limitations of the Travel Insurance
8.3.1. The Travel Insurance meets the organiser’s legal obligations under applicable Polish law.
8.3.2. The Travel Insurance is limited in scope and sum insured. It is not tailored to individual circumstances and may not adequately cover the full cost of:
serious illness or injury abroad,
hospitalisation or complex medical procedures,
emergency medical transport or repatriation.
Flores del Camino does not make any representations regarding the adequacy of the Travel Insurance for the Participant’s individual needs.
8.3.3. The Travel Insurance does not cover Event cancellation or interruption.
8.3.4. The Travel Insurance does not cover complications, incidents, or treatments arising from chronic or neoplastic diseases (CP).
8.3.5. The Participant acknowledges that the Travel Insurance is basic. Given that the Event takes place abroad, the sums insured may not cover the full cost of a major medical emergency, complex surgery, or long-distance repatriation. Flores del Camino is not liable for any costs exceeding the limits of the Compensa policy.
8.4. Acknowledgement of receipt of documentation
By completing the booking, the Participant declares (on behalf of themselves and all other participants included in the booking):
“I declare on behalf of myself and other participants of the tourist Event, on whose behalf I am making the payment for the tourist Event, that before concluding the participation agreement in the tourist Event, I received the General Terms and Conditions of Travel Insurance (‘Ubezpieczeni w podróży’) approved by the resolution of the Management Board of Compensa TU S.A. no. 01/07/2024 of July 1, 2024, together with Annex no. 1 and the Insurance Product Information Document.”
8.5. Data processing
The Participant acknowledges that their personal data will be processed by Compensa Towarzystwo Ubezpieczeń S.A. Vienna Insurance Group, acting as an independent data controller, for the purposes of insurance risk assessment and performance of the insurance contract.
Detailed information on personal data processing and Participant rights is available in the Information Clause (Annex No. 7 to the General Agreement) [HYPERLINK].
8.6. Participant responsibility for additional insurance
Participants are solely responsible for assessing their own insurance needs. Flores del Camino strongly recommends that Participants obtain independent, comprehensive travel insurance from a provider of their choice, covering in particular:
higher medical and repatriation limits,
trip cancellation or interruption,
personal belongings and high-value items,
pre-existing medical conditions.
Such insurance should be arranged independently by the Participant and is not facilitated or mediated by Flores del Camino.
8.7. Assumption of risk
If the Participant chooses not to obtain additional insurance, they accept full financial responsibility for any costs, losses, or liabilities exceeding the limits or scope of the basic insurance provided.
9) FOOD & ACCOMMODATION
9.1. During on-site events, you will be accommodated in a bedroom with private bathroom. Your bedroom will be individual unless you request to share a bedroom with another participant. Your bedroom will be either at the Event Venue or in a nearby partner hotel of a similar standard.
9.2. During Events, including pilgrimages, we will make our best efforts to keep the same standard of individual rooms with private bathrooms. However, due to the unique nature of the Camino and the limited infrastructure in certain remote areas, you acknowledge and accept that on some overnight stays, you may be required to share a room or a bathroom with another participant of the same gender. We will inform you of such instances in the specific Event itinerary. Such occasional shared accommodation does not constitute a non-conformity of the contract and does not entitle the Participant to a price reduction.
9.3. We will make our best efforts to accommodate the dietary requirements you have communicated to us. However, while we strive to meet your needs, we cannot guarantee that our food does not contain traces of allergens since all meals are prepared in the same kitchen where cross-contamination may occur. Please contact us if you have any doubt.
9.4. To ensure your safety, you are required to:
inform us of any life-threatening allergies immediately upon booking;
confirm with the server or host at each meal that the food provided meets your notified dietary needs;
carry and be prepared to use any necessary emergency medication (e.g., EpiPen) at all times.
9.5. We are not liable for allergic reactions resulting from the Participant’s failure to inform us of an allergy or from the consumption of food that was not part of the provided Event menu.
10) GROUP PARTICIPATION & CONDUCT; CONSENT TO THE USE OF PARTICIPANT’S IMAGE
10.1. For ease of communication in the group, shortly before and during the Event, we will create a WhatsApp group. By participating in the Event, you acknowledge and consent to having your phone number visible to other participants within this group. If you do not wish to be part of the group, please inform us, and we will find an alternative way to communicate essential updates to you.
10.2. You understand that the Event is as much a group experience as an individual experience, that it is a time of personal reflection and for encountering otherness in the group, as well as in the material presented, and that as such, it can be a spiritual, psychological and/or emotional experience. You agree to conduct yourself responsibly, welcoming the other and fostering freedom and safety. You will endeavour to engage in respectful conversation with yourself and all others. You will refrain from confrontational, argumentative discourse or from discussing political or politicised topics. During communal times, we encourage you to be mindful of the shared space, helping to ensure that conversations remain balanced and that everyone has the opportunity to contribute and feel heard.
10.3. In order to nurture a sense of community and awareness, we organise a schedule of light tasks where participants are asked to help with setting up the table, clearing plates and cutlery, etc. By joining this Event you accept your participation in the schedule of tasks.
10.4. During and after the Event, you shall treat with care and confidentiality all the information shared by the participants and the facilitators, in particular when personal or sensitive. You shall not disclose any such information to anyone unless the other participant(s) specifically permit this sharing.
10.5. The consumption of mind-altering drugs is strictly prohibited. You also agree not to consume alcohol to excess. Failure to comply with this rule may result in immediate exclusion from the Event under clause 10.8. below.
10.6. You shall respect the scheduled times and activities listed on the itinerary so as not to keep the group waiting. You will make your own decision about any attendance and advise the Event facilitators in advance if you are not attending an activity.
10.7. We may take photographs or videos during the Event for promotional purposes (e.g., website, social media). By participating in the Event, you grant Flores del Camino permission to capture, use, and disseminate your image (portrait) recorded in the form of photographs or videos during the Event.
10.7.1. You agree that the use of your image for the purposes described herein is gratuitous (no payment or royalties shall be due to you now or in the future).
10.7.2. We may publish your image for promotional, informational, and educational purposes related to Flores del Camino’s activities. This includes:
Digital media: Website, social media profiles (e.g., Instagram, Facebook, YouTube), and electronic newsletters;
Printed materials: Brochures, flyers, and event programs.
10.7.3. Please note that, in accordance with Art. 81 (2) (2) of the Polish Copyright Act, no separate permission is required for the dissemination of your image if you constitute only a detail of a larger whole, such as a public assembly, a group landscape, or a general shot of a communal activity.
10.7.4. You may revoke the permission specified in this clause at any time for the future by notifying us in writing or through e-mail. However, such revocation shall not affect the legality of any promotional materials already printed or published in physical form prior to your notice.
10.8. Flores del Camino reserves the right to terminate your participation in the Event immediately if your behaviour is seriously disruptive, illegal, or poses a threat to the safety or well-being of yourself or others. In such cases, the termination is deemed to be due to the Participant's fault. You will not be entitled to a refund for the unused portion of the Event, and Flores del Camino shall not be liable for any additional travel costs (e.g., return flights) incurred as a result of your exclusion.
10.9. The Events offered by Flores del Camino are educational and contemplative experiences and are not intended as medical, psychological or therapeutic treatment. Participants with specific mental health concerns should consult a professional before joining.
10.10. Participants remain responsible for their own decisions and actions during the Event, including whether or not to participate in any activity.
11) INTELLECTUAL PROPERTY
11.1. All intellectual property rights in the Website, materials taught and shared by Flores del Camino, including, but not limited to, geometrical constructions, original research and handout materials, presentations, photographs, and brand assets specific to us (including trademarks, logos) - belong exclusively to us and they can not be used by third parties without permission. You must seek permission to use our material in advance and if you get permission, you must always and each time duly credit us.
11.2. If the material was shared by Basia Goodwin or Bertrand Gamrowski, you must use the following language or a similar formula agreed to by us:

11.3. The other facilitators will indicate how they wish their material to be credited.
11.4. Except where mandatory law permits, you are not allowed to:
copy, modify, adapt, translate, create derivative works from, publicly display, publish or redistribute any part of the Website or its content outside of the Website;
reverse engineer, decompile or disassemble the Website, or bypass any security or technical protections (anti-circumvention), except to the extent allowed by law;
rent, lease, lend, sell, assign, sublicense, share credentials, or otherwise transfer access rights to any third party;
access the Website and services by automated means (e.g., bots/scrapers), run or publish benchmarks, or use the website or services to build or train competing products or models;
remove or alter copyright, trademark, or other proprietary notices;
For avoidance of doubt by accessing our Website no rights are transferred to you.
12) MODIFICATIONS TO THE EVENT
12.1. The itinerary of the Event in the Event description is an indicative plan rather than a rigid schedule. You acknowledge that participating in an outdoor, group-based Event requires flexibility. Changes in the timing, duration, or order of activities may be necessary due to circumstances beyond our control, including but not limited to:
weather conditions: such as thunderstorms, extreme heatwaves, heavy rain, or fog, which may make hiking or outdoor workshops unsafe or impractical;
local infrastructure and Logistics: sudden trail or monument closures, road repairs, changes in local transport schedules, or unexpected overbooking of a specific site;
safety: adjustments based on the physical condition or health of the group, or the need to attend to a medical emergency;
local events: regional festivals, strikes, or public holidays that may affect access to certain locations or services.
12.2. Flores del Camino reserves the right to make insignificant changes to the daily schedule or specific services. We will inform you of any such changes in a clear and understandable manner (e.g., via the WhatsApp group or in person during the Event).
12.3. We strive to ensure all listed facilitators are present. However, if a facilitator cannot attend due to unforeseen circumstances (e.g., sudden illness or family emergency), we reserve the right to provide a qualified substitute or adapt the program. Such a substitution shall be considered an insignificant change, provided the substitute possesses comparable qualifications and the core educational/contemplative value of the Event is maintained.
12.4. Adjustments that are deemed insignificant (such as minor timing shifts, substitution of a comparable facilitator, or replacing one minor activity with an equivalent one due to safety) do not constitute a non-conformity of the contract. Therefore, they do not entitle the Participant to a price reduction or compensation, provided that the overall character and quality of the Event remain unchanged.
13) WITHDRAWAL FROM THE EVENT BY YOURSELF
13.1. You may cancel your participation in the Event at any time before its start. To be effective, such cancellation must be sent to us on a durable medium (e.g., via email). If you cancel more than 90 days before the start date of the Event, all payments made to us, excluding the non-refundable Deposit, will be refunded to you within 14 days from the day we receive you withdrawal (cancellation of participation).
13.2.If you cancel your participation in the Event 90 days or less before the start date, the termination fee may amount to up to 100% of the Event price. At this stage, Flores del Camino has typically committed the full amount of your participation fee to non-refundable Spanish providers (venues, local staff, logistics). We will calculate the final fee by subtracting any costs we were able to recover or savings made from not performing the service. Upon your request, we will provide a justification for the amount of the termination fee charged.
13.3. You may withdraw from a contract for an Event (cancel participation in the Event) before the tour begins without incurring a withdrawal fee in the event of unavoidable and extraordinary circumstances occurring at the destination or in its immediate vicinity, which have a significant impact on the performance of the Event or the transport of Participants to the destination. In a case specified in previous sentence, you may only claim a refund of payments made in respect of the Event, without compensation or damages in this regard. In such cases, we will refund the fees and payments made within 14 days of the withdrawal of the contract for participation in the Event.
13.4. Transfer of rights & obligations
13.4.1. You may transfer all your rights and obligations under the Event contract to another person who satisfies all the conditions for participation (as set out in Section 1 of these Terms). This transfer does not require our consent, provided that the new Participant assumes all obligations resulting from the contract. In such a case, both you and the new Participant are jointly responsible for any outstanding payments and additional costs incurred by such transfer.
13.4.2. To be effective, you must notify Flores del Camino of the transfer on a durable medium (e.g., via email or the contact form on our website) within a reasonable time before the Event starts. A notification sent no later than 7 days before the start date shall always be considered as sent within a reasonable time.
13.4.3. You and the person assuming your rights and obligations are jointly and severally liable for the payment of the remaining balance of the Event price, as well as for any additional fees, charges, or other costs arising from such a transfer.
13.4.4. Please note that if the transfer results in additional costs for Flores del Camino (e.g., administrative fees from Spanish providers or booking platforms), we will provide you with documentation evidencing such costs. We will inform you of these costs immediately after receiving your notification.
13.4.5. Upon notification, we will contact you to collect the necessary personal and medical data of the new participant to ensure their safety and compliance with the Event's requirements.
13.5. Right to withdraw from the Contract concluded off-premises within 14 from the date of conclusion of the Contract
13.5.1. If the Event contract is concluded off-premises (within the meaning of Art. 2 pkt 2 of the Polish Act on Consumer Rights, e.g., during a physical meeting between the Participant and the Flores del Camino outside of the our registered office), you have the right to withdraw from the Event contract without giving any reason within 14 days from the date of its conclusion (which is the date you receive the booking confirmation).
13.5.2. To exercise this right, you must inform Flores del Camino of your decision by an unequivocal statement (e.g., an email sent to our official address or via our contact form) before the 14-day period expires.
13.5.3. In the event of such withdrawal, Flores del Camino shall refund all payments received from you, including the deposit, without undue delay and in any case no later than 14 days from the day on which we are informed of your decision to withdraw from the contract.
13.5.4. We will carry out such refund using the same means of payment as you used for the initial transaction, unless you have expressly agreed otherwise; in any event, you will not incur any fees as a result of such refund.
13.6. If you join the Event late, leave early, or do not show up, no refund will be issued for the unused services. We strongly recommend purchasing Trip Cancellation Insurance to cover such risks.
14) EVENT CANCELLATION BY FLORES DEL CAMINO
14.1. Cancellation by Flores due to Force Majeure. Prior to the start date, if the Event is prevented or rendered inoperable by a Force Majeure event, we will cancel the Event and notify you immediately. You will be entitled to a full refund of all payments made to us, without any additional compensation or damages. The refund will be paid to you within 14 days of the termination of the contract (day on which we notify you of cancellation). While we may offer you a travel credit (voucher) credit of equivalent value that can be used for another Event as an alternative, the choice between a cash refund and a credit remains yours.
14.2. Curtailment by Flores due to Force Majeure. If Force Majeure occurs after the Event has started, rendering it impossible to continue, Flores del Camino will curtail the Event. In such a case, we will provide a price reduction for the services not rendered, calculated on a pro-rata basis. This refund represents the portion of the Event price corresponding to the cancelled part of the Event. We will also organise your transport back to Madrid airport at no extra cost to you. Any additional credit or refund will be calculated objectively, taking into account the services actually provided and the unavoidable costs incurred.
14.3. Cancellation by Flores for reasons other than Force Majeure.
If we cancel the Event for reasons other than Force Majeure or low enrollment (Section 6), you are entitled to a full refund of all payments plus appropriate compensation for any documented losses, subject to the limitation of liability set out in Clause 14.5 below.
14.4. Curtailment by Flores for reasons other than Force Majeure. Once the Event has started, in the unlikely event that we have to curtail the Event for reasons other than Force Majeure and the curtailment is not caused by your fault or negligence, we will organise a transport back to Madrid airport at no extra cost to you and provide a price reduction for the services not rendered. You may also be entitled to appropriate compensation for documented damages, subject to the limitation of liability set out in Clause 14.5 below.
14.5. The total liability for any damages, including for any incidental expenses or consequential losses that you may incur as a result of a cancelled or curtailed event including visas, non-refundable flights or rail, non-refundable car parking or other fees, loss of earnings, or loss of enjoyment resulting from the non-performance or improper performance of the contract is subject to the limitation of liability set out in Clause 19.5.
14.6. The terms and deadlines for cancellation due to a failure to reach the minimum number of Participants are set out in Section 6 of these Terms and Conditions.
15)VERIFICATION & MISREPRESENTATION OF HEALTH INFORMATION
15.1. Flores del Camino reserves a period of 14 days from the date of your registration and payment to review your medical and physical information. If, based on the information provided, we determine in good faith that we cannot safely or appropriately accommodate your specific needs on the chosen Event (e.g., due to the physical difficulty of the route or lack of specialised medical infrastructure), we reserve the right to decline your booking.
15.2. If we decline your booking under clause 15.1., we will notify you immediately via email and issue a 100% refund of all payments made including the Deposit within 14 days of such notification. In this case, no cancellation fees shall apply, and the contract shall be considered void.
15.3. If it is discovered after the 14-day verification period but before the Event starts that a Participant misrepresented their fitness or health, making their participation unsafe, this shall be treated as a withdrawal by the Participant. In such cases, the cancellation fees and rules regarding replacement participants set out in Section 13 shall apply in full.
15.4. If it becomes apparent during the Event that a Participant misrepresented their health or fitness, making their participation in certain activities unsafe, Flores del Camino reserves the right to:
immediately terminate their participation (Exclusion under clause 10.8.), with no refund provided; or
at our sole discretion, allow the Participant to remain with the Group while prohibiting their participation in specific activities (e.g., strenuous hikes, workshops, or long-distance walks) to ensure their safety.
In the case of option (2), the Participant remains responsible for their own safety during the periods they are not participating in scheduled activities and is not entitled to any refund or price reduction for the missed portions of the Event. The Participant shall also be responsible for any additional logistics or costs (e.g., taxis or transport) required because they cannot follow the main itinerary.
16) MEDICAL AUTHORISATION
16.1. In the event of a medical emergency where neither the Participant nor their Authorised Person can be consulted, the Participant hereby authorises Flores del Camino and its facilitators to seek and facilitate emergency medical assistance. This authority includes calling emergency services (ambulance), arranging transport to the nearest medical facility, and providing essential health information to medical professionals to ensure prompt care.
16.2. Flores del Camino acts strictly as a facilitator in good faith. The Organiser is not a medical provider and shall not be held liable for any medical diagnoses, treatments, surgeries, or the clinical outcomes of any care provided by third-party medical professionals or hospitals.
16.3. As specified in Section 8, Flores del Camino provides the mandatory medical and accident insurance (KL and NNW) required by law. However, the Participant remains personally responsible for:
any medical costs that exceed the limits of the insurance policy;
any costs excluded from the policy (such as treatment of pre-existing chronic conditions, unless covered);
directing their own medical decisions whenever they are able to do so.
17) PERSONAL DATA
17.1. Flores del Camino processes personal data provided by participants for the purposes of organising and delivering the event, managing bookings and communicating with participants.
17.2. Personal data may be shared with service providers involved in the organisation of the event (such as accommodation providers or transport providers) where necessary for the performance of the contract.
17.3. Participants have the right to access, correct or request the deletion of their personal data in accordance with applicable data protection laws.

18) COMPLAINTS AND NON-CONFORMITY
18.1. Flores del Camino is responsible for the performance of all travel services included in the contract (accommodation, workshops, local logistics, and the scheduled transfer to Madrid airport).
18.2. If any service is not performed in accordance with the contract, we shall remedy the non-conformity, unless it is impossible or involves disproportionate costs in relation to the extent of the non-conformity and the value of the services affected. In such cases, the Participant remains entitled to an appropriate price reduction or compensation.
18.3. You must notify us immediately of any non-conformity found during the Event. If we do not remedy the issue within a reasonable timeframe set by you, you may remedy it yourself and claim reimbursement for necessary expenses. You may not remedy it yourself if we have validly refused to do so under Clause 18.2. above.
18.4. If a significant part of the Event cannot be provided, we will offer suitable substitute services at no extra cost. If the substitute's quality is lower, we will grant a price reduction. You may reject substitutes only if they are not comparable to the contract or if the price reduction is inadequate.
18.5. If a non-conformity significantly affects the Event and we fail to fix it within a reasonable timeframe, you may terminate the contract without a fee. Our transport obligation in such cases is strictly limited to providing the agreed transfer to Madrid airport. We are not responsible for arranging or financing international flights.
18.6. Any complaint regarding the non-performance or improper performance of the contract that was not resolved on the spot must be submitted to Our E-mail.
18.6.1. Complaints must be submitted within 30 days of the end of the Event.
18.6.2. To ensure a prompt review, your complaint must include:
a detailed description of the non-conformity;
the time and place where it occurred;
information on how it was reported to the facilitators on the spot;
any supporting evidence (e.g., photos or receipts for necessary expenses).
18.6.3. Flores del Camino will review and respond to your complaint within 30 days of receipt. If we fail to provide a response within this period, the complaint is deemed to have been accepted.
19) LIABILITY AND LIMITATIONS
19.1. You acknowledge that the Event involves physical activities (such as long-distance walking) and group processes that may be demanding, as well as that it may entail unusual risks to you and the other participants. By registering, the you confirm that you are aware that during the Event objective geographic and weather-related conditions, such as extreme heat, cold, high humidity, or high altitudes can be encountered.
19.2. Flores del Camino is responsible for the performance of the travel services included in the Event contract, regardless of whether these services are to be performed by us or other service providers.
19.3. You acknowledge that participation in the Event is voluntary and that certain activities, including travel, walking, outdoor activities and group processes, may involve inherent risks. By joining the Event you accept these risks and agree to participate at your own responsibility.
19.4. Participants remain responsible for their personal belongings (e.g., cameras, phones, jewelry) carried at all times. Flores del Camino is not liable for the loss, theft or damage to personal items during the Event. We strongly recommend that you do not include high-value items or essential medications in the luggage intended for transfer and that they maintain adequate travel insurance.
19.5. Flores del Camino limits the amount of compensation to be paid by them for any damage or loss resulting from the non-performance or improper performance of the services to three times (3x) the total price of the Event.
19.6. The limitation mentioned in Clause 19.5. does not apply to:
personal injury (damage to health);
damage caused intentionally;
damage caused as a result of gross negligence.
19.7. The Participant is not entitled to compensation or damages for non-conformity if:
the Participant is at fault for the non-conformity;
the fault lies with a third party not connected with the provision of the travel services, and the non-conformity could not have been foreseen or avoided;
the non-conformity was caused by unavoidable and extraordinary circumstances.
19.8. Where it is impossible to ensure the traveller’s return to their country of origin in accordance with the package travel contract due to unavoidable and extraordinary circumstances, the tour operator shall bear the costs of the traveller’s necessary accommodation, where possible of a standard equivalent to that specified in the package travel contract, for a period of up to three nights.
20) JURISDICTION AND COMPETENT LAW
20.1. These terms and conditions are governed by Polish law. Any disputes shall be subject to the jurisdiction of the Polish courts. However, if you are a consumer residing in another EU Member State, this choice of law does not deprive you of the protection afforded by the mandatory consumer-protection laws of your country of habitual residence.
20.2. Any disputes that cannot be settled amicably shall be subject to the jurisdiction of the competent Polish courts. However, as a consumer, you may also choose to bring legal proceedings in the courts of your country of residence.
20.3. In accordance with EU regulations, we inform you that you have the right to use out-of-court complaint and redress mechanisms via the European Online Dispute Resolution platform available at: http://ec.europa.eu/consumers/odr/.
20.4. These Terms apply to you and all persons you register. It is your responsibility to share these Terms with all participants in your booking.
20.5. These Terms and conditions apply to you and all persons registered under your booking. By making a booking for other participants, you represent and warrant that you have the authority to accept these Terms on their behalf. It is your responsibility to share these terms with all participants in your booking and ensure they are aware of and accept them.
21) CHANGES TO THE TERMS
21.1. You can review the most current version of the Terms at any time on the Website. The content of these Terms may be recorded by printing, saving on a storage device or downloading from the website at any time.
21.2. We may update these Terms for valid reasons, such as:
Changes in applicable law or regulatory guidance;
Enhancements to security or technical standards;
Modifications to the features or scope of the Event or ongoing services (e.g., Newsletter);
Internal organizational changes or improvements for clarity.
21.3. Any changes to the Terms will apply prospectively and will not affect contracts already concluded (bookings already confirmed). The Terms in effect at the moment of your booking shall govern your specific Event.
21.4. For ongoing services provided over time (e.g., the Newsletter), we will notify you of any changes via email or a prominent notice on our Website at least 14 days before the changes take effect. If you do not agree with the updated Terms, you have the right to terminate the ongoing service (e.g., unsubscribe) before the changes become effective.
22) TERMINOLOGY
To ensure clarity and a mutual understanding of these Terms and Conditions, the following definitions shall apply throughout this document. These terms are intended to simplify communication and ensure that both Flores del Camino and the Participant have a clear understanding of their respective rights and obligations.

Event
refers to a structured, multi-day program organized by Flores del Camino, typically lasting from several to over a dozen days. An Event may take the form of a pilgrimage (e.g., walking the Camino de Santiago), a retreat (focused on spiritual or personal growth), or an educational workshop. Each Event includes a combination of services such as accommodation, a curated itinerary, spiritual or academic facilitation, and may include certain meals or local transport, as specifically detailed in the individual Event description on our booking platform. “You” refers to you and all the persons you register for an event with Flores.
Participant or you
refers to the person visiting our Website, booking the Event and all individuals registered for an Event through your booking.
Website
refers to www.floresdelcamino.com and, in particular, the page on our website describing the Event you are booking.
Our E-mail

Our Booking Platform
Refers to the WeTravel.com platform, to which you will have been directed to book your Event. It is the third-party system used to process registrations and payments.
Venue
refers to the principal location of the Event.
Booking an Event (also signing up or registering)
refers to the legal process of entering into a contract with Flores del Camino by completing the registration form and paying the required fees.
Joining the Event
refers to your actual physical arrival and participation in the scheduled program of the Event.
Group
refers to both Flores and the participants taking part in the Event.
Force Majeure
should be understood as unavoidable and extraordinary circumstance, such an Act of God, war or war-like operations, mechanical breakdowns, terrorist activities or threat thereof, civil commotions, labor difficulties, interference by authorities, political disturbance, riot, insurrection and government restraint, fire, earthquake, extreme weather, government directives restricting travel, or similar directives, policies or restrictions, significant risks to human health such as the outbreak of serious disease, pandemic or epidemic, or any other cause whatsoever beyond the reasonable control of Flores, whether or not foreseeable, that would, individually and/or collectively, make the trip dangerous or not viable.
Deposit
the initial payment required at the time of booking to secure your participation in the Event. It represents a genuine pre-estimate of non-recoverable costs incurred by Flores del Camino immediately upon your registration (e.g., boutique hotel down-payments, administrative fees, and facilitator bookings).
Authorised Person
is an individual (another Participant or an emergency contact) whom you have designated and communicated to us, and who is authorised to make medical decisions on your behalf if you are unable to do so.
